Sportmaster: hiring automation case
Jul 17, 2020
Sportmaster is the largest retailer in Russia, regularly hiring a large number of candidates. The company has felt the need to improve its recruitment routine: the goal is to make the hiring process more comfortable for all participants, as well as to avoid any misunderstandings of business and HR. Tatyana Shpakova, a leading specialist in internal communications and promotional work, shared her experience with VCV in a detailed article, and here we present the key thoughts.
Problems solved:
1
The recruitment process cannot be tracked. A well-functioning system needed to know at what stage any problem or failure occurs.
2
The path of the sales candidate must be reduced from 10 to 2 days.
3
The number of interested candidates is not enough, therefore, a new IT solution should generate a stream of applicants.
4
Vacancies aren't filled for quite a long time, so candidate's screening is required to speed up the recruitment process.
Due to security policy or to unnecessary operations to integrate systems, the team didn't want to work with many existing platforms. Working with VCV was characterized by the active interest of the counter-party, and an interest in developing the idea, prompt reaction and willingness to meet. An important advantage was the product's cost.
Together with VCV:
  • Created a job landing page, and all of its metrics can be analyzed. The number of responses increased by 30%.
  • Increased traffic - one can go to VCV via a QR code, through a direct link, or when integrating with a search resource through the API. So, the flow of relevant candidates increased by 25%.
  • Began to use a video interview to shortlist candidates faster.

By the way, in order to successfully pass this stage, the applicant must perform physical exercises, because this is a part of Sportmaster's corporate culture.

  • Began to process 30% more resumes: there were 13,000, and it became 20,000; and the contacts of the HR manager and candidates were reduced by 25%.
  • Implemented VCV CRM, where all indicators, data on vacancies, candidates and applications are collected in one place. What flow is needed to close a vacancy in a particular city? These numbers are already calculated and available to analyze. As a result, the candidate's waiting time was reduced by 30%.
Automation forced us to reconsider both the structure of HR, the HR profile itself, and the hiring procedure. Now the funnel is in full view, the deadlines are being adhered to, and the resumes are not lost.
How VCV helped to view 350 video resumes in 2 days during the pandemic
Like most retailers, Sportmaster was forced to close all offline sales in one day. The number of online applications increased dramatically, which led to an increased workload for the contact centers.

The call center had to be expanded as soon as possible, or rather, created from scratch in Moscow.

There was a request to select 110 employees who will go on accelerated training next week and then will be ready to consult clients online.
Sportmaster's team actions:
1
One employee created a landing page for the job: it was necessary to come up with questions for the interview and train colleagues from the call center to work with the platform. The whole process took 3 hours.
2
Posted a vacancy in VK social media channel and advertised it in the Telegram channel.
3
In two days the team received more than 300 responses. The video interview consisted of three questions, so interviewing one candidate took no more than three minutes.
4
All the work was online: as soon as a notification about a new response came, an employee immediately looked through it, made a decision and gave the candidate feedback.
Six months ago the company decided to automate recruitment, so Sportmaster was prepared for the situation that all HR managers face today. In just two days, 110 people were selected to work in a call center.
